Account Deletion Policy
How account closure works at SigningLedger, including the grace period and what happens to your business records.

Overview
You can close your SigningLedger account at any time from Settings → Delete Account. Because SigningLedger is an accounting and business management platform, account closure follows a two-phase process designed to protect your business records: a 1-year grace period followed by permanent deletion.
Phase 1: Grace Period (1 Year)
When you request account deletion: • Your subscription is cancelled and no further charges are made. • Your account enters a 1-year grace period with read-only access. • You can still log in and view your data, but you cannot create or modify records. • You can export your data at any time during the grace period. • You can reactivate your account at any time during the grace period. This grace period gives you time to export your records, reconsider your decision, or reactivate if you closed your account in error. This approach aligns with accounting industry practices — QuickBooks Online provides 1 year of read-only access after cancellation.
Phase 2: Permanent Deletion
After the 1-year grace period, if you have not reactivated your account, all business records are permanently deleted: • Business profile and company information. • All signing records and associated mileage logs. • All appointment records. • All customer records and customer contacts. • All vendor records and Tax IDs. • All vendor payable records. • All expense records and attachments. • All invoice records, invoice versions, and invoice activity. • All customer payment and payment application records. • All organization records. • All budgets and tax estimates. • All notification and reminder settings. • All reminder logs. • All assignment source records. • All notarial act settings. • All mileage rate settings. • All product licenses and usage records. • All subscription records. Permanent deletion is irreversible. Once data is deleted, it cannot be recovered by you or by SigningLedger.
What Is Retained After Deletion
The following is retained after permanent deletion: • An audit log entry recording that the deletion occurred (no business data is included in this entry; retained for 2+ years). • Subscription history entries (plan change metadata only, no business records; retained for 7 years for financial compliance). • Billing records retained by Stripe as required by financial regulations. • Anonymous, aggregated usage data that cannot be linked to you.
Subscription Cancellation
Deleting your account automatically cancels your SigningLedger subscription. If you are on a paid plan, no further charges will be made. Refunds for the current billing period are handled at our discretion.
Irreversibility
After the 1-year grace period, account deletion is permanent and cannot be undone. We strongly recommend exporting your data before requesting deletion and storing exports in your own secure location.
How to Close Your Account
To close your account: 1. Export your data using Settings → Export My Data (recommended). 2. Navigate to Settings → Delete Account. 3. Review the warning and confirm. 4. Your subscription is cancelled and your account enters the 1-year grace period. 5. You can export or reactivate during the grace period. 6. After 1 year, your data is permanently deleted.
Timeline
• Day 0: Account deletion requested. Subscription cancelled. Read-only grace period begins. • Days 0–365: Read-only access. Export and reactivation available. • Day 365: Permanent deletion. All business records removed. Audit log entry retained. The grace period cannot be extended. To retain your records, export them before day 365.
