Privacy Policy

How SigningLedger collects, uses, retains, and protects the information of notaries and loan signing agents who use our platform.

Information We Collect

SigningLedger collects the following categories of information: • Account information: your name, email address, and password (hashed). • Business profile: business name, notary commission number and state, business address, phone, email, and Tax ID / EIN. • Customer records: names, contact information, and payment terms for the signing services, title companies, and lenders you work with. • Vendor records: names, contact information, mailing addresses, and Tax IDs / EINs for subcontracted notaries and suppliers. • Borrower information: signer names and signing locations that you enter from loan signing assignments. We do not collect or store Social Security numbers, loan numbers, or financial account numbers for borrowers. • Financial records: signing fees, mileage logs, expense records, invoice numbers, payment status, accounts receivable, and accounts payable. • Usage data: login times, feature usage, and interaction logs for service improvement and security auditing.

How We Use Your Information

We use your information to: • Operate the SigningLedger platform and provide bookkeeping, invoicing, reporting, and tax preparation features. • Process subscription payments through Stripe, our payment processor. • Sync appointments to your connected Google Calendar when you enable that integration. • Send appointment reminders and account notifications. • Maintain audit logs for security and compliance. • Improve our services and develop new features. We do not sell your personal information or the information you enter about your customers, vendors, or borrowers.

Your Records and Your Ownership

You own the business records you enter into SigningLedger — including signings, customers, vendors, expenses, mileage logs, invoices, accounts receivable, accounts payable, and financial reports. SigningLedger is a tool for managing your business; it is not your sole recordkeeping system. You are responsible for maintaining your own copies of your business records for tax filing, legal compliance, and business continuity. We strongly recommend that you export your data regularly — at minimum monthly — and store exports in your own secure location. SigningLedger provides export capabilities, but we are not responsible for maintaining your official business records or for data loss resulting from your failure to maintain your own backups.

Data Retention

Your data is retained as follows: • Tax-relevant records (signings, expenses, mileage, invoices, payables, receivables): retained until you delete your account. • Customer and vendor records: retained until you delete them or delete your account. • Borrower names and signing locations: retained with the associated signing record until deletion. • Tax IDs / EINs: retained for the duration of your account to support 1099 reporting. • Audit logs: retained for a minimum of 2 years for security and compliance purposes. • Deleted records: may be recoverable for up to 30 days by contacting support, then permanently removed. • Account deletion: subject to a 1-year grace period (see Account Deletion Policy). The IRS generally requires taxpayers to retain records supporting tax filings for 3 to 7 years. You are responsible for maintaining your own copies. See our Data Retention Policy for details.

Data Security

We protect your data using industry-standard measures: • Encryption in transit (TLS/HTTPS). • Row-level security isolating each user's data from other users. • Tax IDs and EINs are masked by default in the application interface. Full Tax IDs are only displayed when you explicitly reveal them, and each reveal is recorded in our audit log. • All data exports mask Tax IDs to protect sensitive information in transit. • Audit logging tracks sensitive actions including Tax ID reveals, data exports, and account deletions. No method of transmission or storage is 100% secure. You are responsible for maintaining the security of your account credentials.

Data Export

You can export all of your data at any time from Settings → Export My Data. Standard exports include all business records with Tax IDs masked. The export is provided in JSON format and includes all entities and their relationships. See our Data Export Policy for details.

Account Deletion

You can delete your account from Settings → Delete Account. Account deletion is subject to a 1-year grace period during which your data remains accessible in read-only mode and you can export or reactivate. After the grace period, all business records are permanently deleted. See our Account Deletion Policy for details.

Third-Party Service Providers

SigningLedger uses the following third-party services: • Base44: Application hosting, database, and infrastructure. • Stripe: Payment processing for subscriptions. Stripe receives your payment method information; SigningLedger does not store full card numbers. • Google: Calendar synchronization when you enable the Google Calendar integration. Google receives appointment data you create in SigningLedger. Each provider has its own privacy policy governing the data they process.

Your Privacy Rights

Depending on your location, you may have the following rights: • Right to access: request a copy of your data. • Right to export: download all of your data in a portable format. • Right to deletion: delete your account and data (subject to the 1-year grace period). • Right to correction: update your information at any time. • Right to object: request that we stop processing your data. Children's Privacy

SigningLedger is not intended for use by individuals under 18. We do not knowingly collect information from children.

Changes to This Policy

We may update this Privacy Policy from time to time. Material changes will be communicated through the application or by email. Continued use after changes constitutes acceptance.
